What You Need to Know about Voice and Conferencing
Combining your company’s voice and data systems makes it easier to keep in touch and share information. By unifying your business’ phone and computer network, team members can easily find each other, wherever they are, and customers and prospects can be quickly routed to the best resources.

As your business grows, IP based communications technology lets you add new employees, remote offices and teleworkers with minimal effort and expense. At each step, your team has the communications tools it needs to help your business succeed.
Bring It All Together

To understand unified communications, consider all the tools that your business uses now: office phone system, mobile phone, fax, Internet, voicemail and likely others. Then, think about all of the productivity applications you use: calendars, conference and meeting clients, e-mail and messaging. Now, instead of separate, distinct tools, they’re all working together as one solution that makes it easy to:

* Hold meetings from remote locations using audio, video or Web technology
* Help team members find each other right away-no more telephone tag
* Access key technologies through wireless devices
* Connect customers with the right person at the right time
* Allow employees to work from anywhere
* Easily add and integrate new employees saving you time and money
* Safeguard your business from hackers, viruses, and other security risks

Here’s how each piece of a unified communications system – featuring voice and conferencing – works together to make it happen.
IP telephony

Phone service – including dial tone, transfer, hold, phone conferencing and other standard features – connected via your data network. Employees can transfer calls to anyone in the company, regardless of location, and remote employees have access to all phone services through a secured Virtual Private Network (VPN) connection to the office.
Software

Voice and conferencing software lets your employees easily set up conference calls for meetings, share presentations, see each other through video conferencing, and message each other instantly, among other things. All of this becomes available through one, easy-to-use front end.
Presence solutions

No more telephone tag or wasted time trying to reach someone who is out of the office. “Presence” applications (which provide real-time status of who’s available online) let you check the availability, location and contact information of a coworker in real time.
Unified messaging

Imagine getting all your e-mail, voice messages, and faxes right from your e-mail inbox. Unified messaging allows this, giving you an easy way to stay connected with the tools you use everyday.
Rich-media conferencing

Conferencing solutions let remote workers and teams hold conferences using voice, video, the Web or a combination of all three. Rich-media conferencing enables meetings where everyone can participate easily and collaborate better.

Small Business Phone System: One Network, Many Benefits
Small Business phone system technology delivers so much more today than just a dial tone.

Today, a small business phone system is increasingly part of a converged network—an Internet Protocol (IP) network that seamlessly ties together voice, data, video conferencing, wireless, instant messaging, and other business-critical communications tools and applications.

A small business phone system on a converged network makes basic as well as sophisticated business communications more affordable, whether it’s for a small business or a small office that’s part of a larger company.
How an IP-Based Small Business Phone System Saves Money

    * With a small business phone system on an IP network, you have only one network to manage, which is less expensive and more efficient than managing separate networks.
* A small business phone system saves your business money on long-distance charges, because you can use your data network to place calls both nationally and internationally at extremely low rates.
* A small business phone system reduces the costs of moving or changing a phone extension.
* You’ll save time—and therefore money—when adding a new site or a new employee.

Other Benefits of a Small Business Phone System

    * Ease of use: for employees, an IP network-based phone system can be as easy to use as a traditional landline phone, yet offer far more features and capabilities.
* Anywhere access: your communications/phone system is available to employees anywhere they have a broadband Internet connection. This helps employees be more productive and collaborate more easily, which in turn helps speed decision-making.
* Improved customer service: having anywhere access to a communications/phone system allows you to serve customers better. Callers are less likely to get ensnared in voicemail menus or put on hold, which can help improve customer loyalty—and profits.

Phone service – including dial tone, transfer, hold, phone conferencing and other standard features – connected via your data network. Employees can transfer calls to anyone in the company, regardless of location, and remote employees have access to all phone services through a secured Virtual Private Network (VPN) connection to the office.

Small Office Phone System: Getting Started

Ready to get started with a small office phone system? Here’s a list of things to consider:

The Status of Your Current Network
As a general rule, newer networks provide a stronger foundation for voice and conferencing. As you begin the process, consider:

    * Age – If your network is more than five years old, there’s a good chance it will need to be refreshed.
* Reseller input – Your reseller partner can run an assessment to determine network capacity and readiness.

Your Small Office Phone System
If you’re moving to an Internet Protocol (IP) phone system, what do you do with your existing voice communications system? You don’t necessarily need to remove your company’s PBX; you can migrate to a unified network at your own pace. This will allow your company to deploy a new IP phone system as and when you’re ready.

Employee Buy-In
For your company to get a return on its investment, you’ll need to have a small office phone system that employees will actually use. Help your employees understand:

    * Why you’re making these changes – Employees will be motivated to use a new small office phone system and tolerate any adjustments on their part if they understand the benefits it can deliver to them, and to the company.
* What they need to do – People are more invested in changes that they participate in. Share with employees the ways in which you need them to work or share information during the transition and after its completion.

How they will benefit – Payoff from a small office phone system will be significant. Communicate these benefits repeatedly to employees so that they will welcome the change.

Training
A small office phone system opens up new and empowering ways for your employees to share information and keep in touch. Training will provide quick and easy access to increased productivity, enhanced communications, and time savings. Training is advisable to ensure that employees take full advantage of these tools and realize the greatest payoff from your investment. Talk to your reseller partner about the best time for training and how to communicate the benefits to your team.

Security
Your company needs to protect its infrastructure, information, and applications. Good small business security planning will help ensure that this coverage is in place to thwart current and emerging threats.

    * Do you need different levels of access for various members of your team?
* Will you be able to control who has access to information and networks from any type of device?
* How will the system protect company communications and restrict unwanted access to your company information?
* Is your solution providing protection in the short and long term?

Small Business PBX: The Basics
Small business PBX phone systems today are increasingly more sophisticated. Here’s a quick comparison of a conventional small business PBX system and a Unified Communications system that combines an Internet Protocol (IP) PBX and other features.
A Conventional Small Business PBX

Traditionally, a small business PBX (Private Branch Exchange) is a telephone switching system that manages incoming and outgoing calls for a company’s internal users. A PBX is connected to the public phone system and automatically routes incoming calls to specific extensions. It also shares and manages multiple lines. A typical small business PBX system includes external and internal phone lines; a computer server that manages call switching and routing; and a console for manual control.
IP-Based Small Business PBX

An IP PBX can do everything a traditional small business PBX can do and more. It performs the switching and connecting of Voice over IP as well as landline calls.

A conventional PBX requires two networks, one for data and another for voice. An IP PBX system runs on an IP data network, which saves costs and minimizes network management.

You can use IP phones, softphones (which don’t require any phone hardware beyond a computer and a microphone headset), and landline phones on an IP PBX phone system.
Unified Communications: IP PBX and More

Small businesses require specialized features to support their particular workflows. Unified Communications Manager Express from Cisco Systems is designed specifically for small businesses. It combines an IP PBX with robust telephony features that traditional phone systems can’t deliver.

Small Office PBX FAQs
Small office PBX phone systems today combine the best of both worlds. You get the features of a traditional, landline-based small office PBX. Plus, with a unified communications solution, you get an Internet Protocol (IP) PBX phone system as well as advanced collaboration and communication tools.

The result: With next-generation small office PBX systems, small businesses have the type of communications systems their larger competitors have, in a solution that’s built especially for their needs and budgets.
What’s a Small Office PBX?

A traditional small office PBX (Private Branch Exchange) is a telephone switching system that connects a company’s internal phone users to each other and to the public phone system. On a traditional small office PBX, employees can easily make calls within the company simply by dialing an extension.
How are Today’s Small Office PBX Systems Different?

Next-Generation communications solutions offer the same features as traditional PBX systems and much more. Advanced unified communications solutions often include an IP PBX, which runs on the same IP network many small companies use to run their businesses. This saves costs and minimizes network management.
What is Unified Communications?

A unified communications solution unifies and simplifies all forms of communication regardless of location, time or device. It provides sophisticated features such as “presence”, which is the ability to determine the best way to contact others within your company at any given time.

Basic Networking: What You Need to Know
Basic networking consists of two essential pieces of equipment: switches and routers. If you know how this hardware works, you’ll have a fundamental understanding of basic networking as well. Knowing more about basic networking can help you make better decisions about the network design, services, and features your business needs to implement in order to thrive.
Basic Networking: Switch

Switches and routers are what basic networking is all about. Though they look similar and perform similar tasks, there is a difference.

Switches are the foundation of most business networks. A switch acts as a controller, connecting computers, printers and servers to a network within a building or campus. Switches allow the devices on your network to communicate with each other as well as with other networks. Through information sharing and resource allocation, switches save businesses money and increase productivity. There are two types of switches to consider as part of your basic networking building blocks: managed and unmanaged.

    * An unmanaged switch works out of the box but can’t be configured. Home-networking equipment typically offers unmanaged switches.
* A managed switch can be configured. You can monitor and adjust a managed switch locally or remotely, giving you greater control over network traffic and access.

Basic Networking: Routers

Routers connect multiple networks together. They also connect computers on those networks to the Internet. Routers enable all networked computers to share a single Internet connection, which saves money.

A router acts a dispatcher, analyzing data being sent across a network, choosing the best route for your data to travel, and sending it on its way. Routers connect your business to the world, protect information from security threats, and can even decide which computers receive priority over others.

Depending on your needs, you can choose from among routers offering different features, such as a firewall, Virtual Private Network (VPN), or Internet Protocol (IP) communications system.

How Does a Network Switch Work?
How does a network switch work? How does it compare to a hub or router? The following is a brief overview that explains the differences between these essential pieces of network hardware.
How Does a Network Switch Work?: The Basics

How does a network switch in conjunction with other hardware? For starters, switches are a key component of many business networks. They connect multiple PCs, printers, servers and other hardware. Switches allow you to send information, such as email, and access shared resources, including printers, in a smooth, efficient, and transparent manner.
How Does a Network Switch Work?: Unmanaged Switches

An unmanaged network switch works right out of the box. But it’s not designed to be configured. Usually, you’ll find unmanaged switches in home networking equipment.
How Does a Network Switch Work?: Managed Switches

A managed switch gives you greater flexibility because it can be configured. For example, you can monitor a managed network switch and adjust it locally or remotely. This gives you control over network traffic and who has access to the network.
How Does a Network Switch Work as Compared to a Hub?

In the most basic networks, devices are connected with hubs. But there’s a limit to the amount of bandwidth users can share on a hub-based network. The amount of time data takes to get to its destination increases on hub networks as more devices are added. A switch avoids these and other limitations of hub networks.
How Does a Network Switch Work as Compared to a Router?

Just as switches allow different devices on a network to communicate, routers allow different networks to communicate. A router also connects networked computers to the Internet, allowing multiple users to share a connection. And a router acts as a dispatcher. It chooses the best route for information to travel, so that it’s transmitted as efficiently as possible.
